How to perform a Site Induction if a user doesn't have the app
Distributing Site Inductions is fast and easy when users have the app. But if one of your users doesn't have the app, or doesn't have a smartphone, then you can still induct them.
You can easily print off the Site Induction form you've created, ask them to fill it out on paper, and then upload this form to the cloud using your app or the Manager's Panel.
1. Printing the Induction document
1.1 Navigate to the site you want to print your site induction for using the Manager's Panel. You can do this by searching for your site on the dashboard.
1.2. Open the Inductions section on the Manager's Panel.
1.3. Click 'Induction Forms'.
1.4. This popup will appear.
Under 'Current' you'll see your current Induction Form. Click the eye icon to view the Induction Form.
1.5. You'll be taken to the Induction Form. Use your Web Browser to print the page as many times as you need.
Generally, the print button will be up the top right or left of your browser. For example, here's where it is in the Chrome browser.
And here's where it is in Internet Explorer.
1.6. Get your workers without the phone app to fill out this paper induction.
When you receive a completed paper induction back from a worker:
2. Uploading a paper induction document to the Induction register using the app
2.1 In the phone app, go to the Attendance Register.
2.2. Tap on the name of the person you'd like to induct (they should have already signed on, so their name will be on the list - if not, ask them to sign on using the kiosk, or sign them on manually yourself).
Once you tap on their name, you'll see this screen.
You'll know that they haven' been inducted by the red X marked above Site Induction (if they were inducted it would be a green tick).
2.3. Tap 'Induct user to site' and you should see this screen.
Tap 'Upload Document or Photo', take a picture of each page of their site induction, and save it with a sensible document name ('Page 1' etc).
For each new page or document, press the '+ Add' button.
2.4. When you're done, tap 'Submit'.
Your worker is now inducted to site!
3. Using the Managers Panel to induct workers
If the induction documents have already been stored on an internal system, you can upload the document on the computer via the Manager Panel.
3.1 In the dashboard, select the site and head to the Inductions tab (as in 1.1 and 1.2 above).
3.2 Scroll down to the 'Not Inducted Workers' table and find the worker to be inducted.
3.3 Under the Actions column, there are two options for inducting workers.
The first icon (paper + arrow) allows you to upload an induction from your computer.
The second (human outline + tick) simply marks that worker as being inducted without documentation.
Click an icon, follow the prompts and you're done!
You can access induction docs whenever you need through the app or the Manager's Panel.
